Business Hours & Transfers

Tell your AI receptionist when you're open, what to do with calls that arrive after hours, and which departments or people it can transfer a caller to.

Everything on this page lives under Settings. Opening hours and after-hours behavior are on the Business Hours tab; call transfers are on the Numbers & Routing tab. Your changes take effect after you press Save Settings.

1. Set your timezone first

On the General tab, pick your Primary Timezone. This is what controls business-hours checks and scheduling — the AI compares the caller's time against your opening hours in this timezone. If your hours seem to apply at the wrong time of day, the timezone is almost always the reason.

TipSet the timezone once, up front. Every open/closed decision your AI makes depends on it.

2. Set your operating hours

On the Business Hourstab you'll see a row for each day of the week, Monday through Sunday. For every day you can either mark it as Closed or set an open and close time.

  1. 1
Open Settings and choose the Business Hours tab.
  2. 2
For each day you're open, set the open and close times (for example, 09:00 to 17:00).
  3. 3
Mark days you're not open — such as weekends — as Closed.
  4. 4
    Press Save Settings.

Any call that arrives on a closed day, or outside the open-to-close window on an open day, is treated as after hours and handled by the behavior you choose next.

3. Choose your after-hours behavior

Still on the Business Hours tab, the After-Hours Behavior section decides what happens when a call comes in outside your operating hours. Pick one of four options:

  • Take a voicemail— the caller can leave a message that you review later.
  • Play a message and hang up— the AI speaks your after-hours message, then ends the call.
  • Run agent with limited capabilities— the AI still answers, but with a reduced scope suited to off-hours.
  • Forward to personal phone— the call is sent on to a personal number instead of being handled by the AI.

Below the option you'll find the After-Hours Messagebox. Whatever you type here is spoken to callers outside business hours, so keep it warm and clear — let them know you're closed and when they can expect to hear back.

NoteA good default message is something like: “We're currently closed. Please leave a message and we'll call you back during business hours.”

4. Configure call transfers (departments)

Sometimes a caller needs a real person. On the Numbers & Routing tab, the Call Transfers (Departments) section lets you list the departments or specific people the AI is allowed to transfer to. Each route is simply a name and a phone number.

When a caller asks to be put through, the AI matches their request to your department names and transfers them to the matching number. So if you add a route named Sales, a caller who says “I'd like to talk to sales” gets routed there; a route named Owner catches callers asking for the owner.

  1. 1
Go to Settings and open the Numbers & Routing tab.
  2. 2
In Call Transfers (Departments), enter a Department Name — for example Owner or Sales.
  3. 3
Enter the Phone Number the AI should dial, in full international format (for example +1234567890).
  4. 4
Press Add Route. It appears in your list, showing the name and where it transfers to.
  5. 5
Repeat for every department or person, then save.
TipName departments the way your callers actually speak — “Billing,” “Support,” “Reception” — so the AI can match a spoken request to the right route.

You can remove a route at any time from the same list. If you haven't added any routes yet, the section shows that no transfer routes are configured — until then, the AI won't transfer calls out.

How it all fits together

  • Your timezonedecides what “now” means for every hours check.
  • Your operating hours decide whether a call is in-hours or after-hours.
  • Your after-hours behaviordecides what happens to calls that arrive when you're closed.
  • Your transfer departments let the AI hand any in-hours caller to the right person or team.
